Joan reported 164 members for year 05/06 to date. There may be up to 20 yet to join.

Minutes

Minutes of meeting on 11 October 2005 read and agreed as a correct record.

Matters Arising

• The office is not suitable for the lady who had expressed interest in renting it.
• Martin suggested the gift for Barry Swan could be an O.S. map of Whalton dated 1866. This will cost £22 plus the frame. Agreed this was suitable and should be paid for from Hall funds.
• Stephen reported that a reflector and cage for the ceiling lights will cost £50 each. There are 12 lights. This is a cost price. In addition there would be approx 1 day's labour to fit them. The job will cost approx £700. Agreed Billy will go back to Julie Potter with this information. It may be a special fund raising event can be held to raise money for this.
• Ernie McDougall is working on the new notice board.
• Works to make good Nikki's drive are still outstanding.
• The Piano was not brought back on 5/11/05 due to bad weather. Stephen will source new castors.
• Stephen advised that the requirement for an alarm in the disabled toilet is a grey area but enquiries suggest we should have one. Agreed Billy will revert to the architect on this.

Treasurer's Report

David delivered his report. A copy of the Refurbishment Account is attached to the Minutes. David advised we should break even provided no unexpected expense crops up.

The DEFRA money is still outstanding. Before they will pay DEFRA require evidence of all payments made (bank statements/cheques). The QS is assisting David with providing this evidence. Agreed David will write to those who lent money secured on the DEFRA funds to advise them of the current situation.

DA mentioned CMBC may abolish the 20% rebate the Hall receives on rates. This is worth £400 - £500 per year. Bernard agreed the PC will make representations about this.

Agreed enquiries would be made as to whether donations for the bonfire party could benefit from gift aid.

Caretaker

Mr Smith initially turned down the job but later changed his mind. Agreed to write ASAP and offer him the job.

Alison reported the documents are ready to go subject to approval of the detail by the Committee. After much debate the contract and tenancy agreement were approved. The Caretaker will be managed by a Hall management sub- committee. Sheila, David and Martin agreed to be on this sub-committee. Sue Richardson will also be invited to join.

Snagging items

2 leaks in the Hall have been identified and are being investigated.

Lights outside the front door and on the patio are needed. Door bell is not working. To be raised with the QS.

Fund Raising Events

  Wine Tasting Evening, 2 December 2005 . This will cost £12 per head to include wine and tapas.

• Lantern making afternoon 10 December 2005 with Cinzia
• Lantern Procession 22 December 2005
• Burns Night and Ceilidh 27 January 2006
• Elizabeth 's Concert 18 February 2006. This will be £7.00 per ticket
• Geoffrey said John Grundy is booked for 21 Feb 2006 . Tickets will be £7.00. Enquiries to be made of Richard Sill for a slide projector and screen. Refreshments will be needed.

• David will enquire about donation of a Christmas tree for the village from Meldon Park .
• All to attend to decorate the Hall on 24/11/05
• Discussion re the proposed Bridge Club. Lady Harrison cannot proceed without the appropriate tables. There followed some debate about the colour of the tables. Ultimately agreed it is essential they are green. Stephen will investigate the price of the tables.
• Kath has found a Yoga teacher for the proposed yoga class. He is only available on Mondays at 8.30. This will clash with the dance class. Kath agreed to discuss this further with Cinzia.
• There being no other business, the meeting closed at 9.30pm .
