  Minutes of the Committee Meeting held on 9 th October2007 at 7.30pm

Minutes of meeting on 11 September 2007 have been lost due to failure of Alison's lap top.

Matters Arising

  Not applicable due to loss of Minutes for Sept 07.

Treasurer's Report

  Billy delivered Elliot's report in his absence. Copy attached to the Minutes.

100 Plus Club

  Final date for subs for next year is the end of the first weekend of November – 3/11/07.

Village Show

  Thanks and congratulations for this hugely successful event to Martin, Sheila and Elliot for their organisation. Many thanks to Stephen Trobe for providing the field at the eleventh hour. Approximately 2000 people attended.

Generally agreed it went extremely well and the publicity in particular worked and attracted new people. Entries were up as regards exhibits.

Meeting debated what went well and what could be improved i.e. attractions for toddlers needed, signage of stalls, split site meant people missed things, no raffle tickets at the Hall, the official opening was not well orchestrated as most visitors were at the field, treasure hunt did not work due to other distractions, production of the schedules was a problem, the battle re-enactment was a disappointment, manning of the gates (particularly the top gate) and taking money did not work. Income was certainly lost due to this. The fun run would perhaps work better if it started and ended in the middle of the field, insurance against cancellation should be considered

The Committee felt the Show should be repeated next year. Organisation should be easier and visitors would remember the event and therefore return.

The Show made a profit in excess of £2100 with money still outstanding from the Beresford and some advertising income.

Martin ran through a list of persons who assisted and whose help was greatly appreciated. Copy list attached to the Minutes.

Date agreed for next year: 20 September 2008

  Agreed to donate £500 to the Church from the profits. Mrs Barbour had specifically requested her donation should go to the Church.

Agreed to donate £250 towards school funds as an expression of thanks for their participation and support..

  Tables

  The grant application for tables was turned down (approx £5000).

Martin has a number of tables we could purchase from him or we could buy new ones as originally anticipated. Money is still potentially outstanding to the insolvent builder's receiver. Felt we should wait and see how much money we have before a decision is taken.

  Highlights Puppet Show

  This is on Thursday 11 th October at 6.30pm and will be followed by a workshop for the youth club. 70 tickets have been sold so far. Helpers needed on the evening.

  Bonfire Night

  This will be on 5 November 2007. Simon Glancy has produced the posters.

Martin has ordered the fireworks.

Nikki is agreeable to our using the field

Richard and Stephen will build the fire.

Dance Class will move to Tuesday 6 th November

Entry by donation.

Catering:

Raffle: donations needed for children's raffle

Wedding Ceremony

  An enquiry re holding a wedding ceremony in the hall has been received. This is not possible as we are not licensed and the Hall is booked on the date in question. Agreed it is not worthwhile to pursue this as it is an isolated enquiry.

AOB

  •  A CD player has been donated to the Hall by Lynn Lofthouse. Thanks expressed for this.

•  The Fire Safety check went well. There are a couple of recommendations which Linda has in hand.

•  Linda reported the diary bookings are healthy

•  Carol Singing 22 December 2007. The Church are organising this event

•  Youth Club jumble sale 17 th November 2007

•  Xmas decoration of Hall to be fixed at the next meeting

•  Toddlers' numbers are severely down and they are struggling with paying the rent. Agreed to reduce the rent to £10 per morning for the time being. The Art Club may be in similar difficulties in future and this should be borne in mind.

  There being no other business the meeting closed at 9.40 pm. Next meeting 13th November 2007.
